MailTrixy provides comprehensive analytics and reporting across every module. From campaign performance to AI usage metrics, the analytics dashboard gives you actionable insights to optimize your communication strategy and measure team effectiveness.

Analytics Dashboard

The main analytics dashboard is accessible from the left sidebar under Analytics. It provides a high-level overview of your workspace's key performance indicators with drill-down capabilities:

  • Date Range Selector: Filter all dashboard data by a specific date range. Quick presets include Today, Last 7 Days, Last 30 Days, Last 90 Days, This Month, Last Month, This Quarter, This Year, and Custom Range.
  • Comparison Mode: Enable comparison to overlay a previous period (e.g., this month vs. last month) on all charts for trend analysis.
  • Export: Export any report or chart as CSV, PDF, or PNG. Schedule automated report delivery via email (daily, weekly, or monthly).
  • Refresh: Dashboard data refreshes automatically every 5 minutes. Click the refresh button for an immediate update.

Campaign Performance Metrics

The campaign analytics section tracks the performance of all email campaigns with detailed breakdowns:

Summary Metrics

  • Total Campaigns Sent: Number of campaigns dispatched in the selected period.
  • Total Emails Delivered: Aggregate count of successfully delivered emails across all campaigns.
  • Average Open Rate: The mean open rate across all campaigns. Displayed as a percentage with a trend arrow showing improvement or decline.
  • Average Click Rate: The mean click-through rate across all campaigns.
  • Average Bounce Rate: The mean bounce rate with a breakdown of hard vs. soft bounces.
  • Average Unsubscribe Rate: The mean unsubscribe rate across campaigns.

Campaign Comparison Table

A sortable table listing all campaigns in the selected period with columns for: campaign name, send date, recipients, delivered, opens, open rate, clicks, click rate, bounces, unsubscribes, and spam complaints. Click any column header to sort. Click a campaign row to view its detailed individual report.

A line chart showing open rate, click rate, and unsubscribe rate trends over time (weekly or monthly granularity). Hover over data points to see exact values. This visualization helps identify long-term engagement trends and the impact of changes in content strategy or sending frequency.

Email Engagement Analytics

Beyond campaign-level metrics, MailTrixy tracks engagement at the individual email level for all sent emails (campaigns, one-to-one, and automated):

  • Open Tracking: Total opens, unique opens, and open-by-time-of-day heat map showing when recipients are most active.
  • Click Tracking: Total clicks, unique clicks, click map overlay on email content, and top-clicked links ranking.
  • Bounce Management: Real-time bounce categorization (hard/soft), automatic hard-bounce suppression, and bounce rate trend monitoring with alerts when rates exceed configurable thresholds.
  • Reply Tracking: For one-to-one emails, track reply rates and average response time. Useful for sales outreach performance measurement.
  • Engagement Score: A composite engagement score per contact calculated from open frequency, click frequency, and recency. Contacts are categorized as Highly Engaged, Engaged, Passive, or Disengaged.

AI Usage Analytics

Track your workspace's consumption of AI features across all team members:

  • Total AI Requests: The number of AI-assisted actions (email drafting, summarization, tone adjustment, etc.) performed in the selected period.
  • Token Consumption: Total input and output tokens consumed, broken down by AI provider (OpenAI, Anthropic, etc.) and model. Displayed as a stacked bar chart over time.
  • Estimated Cost: Calculated cost based on per-token pricing for each provider. Displayed as a running total and daily average. Helps budget AI spending.
  • Average Response Time: The mean latency of AI responses in milliseconds, broken down by operation type. Useful for monitoring AI service performance.
  • Usage by Team Member: A leaderboard showing which team members use AI features most frequently. Helps identify adoption patterns and training opportunities.
  • Feature Breakdown: Pie chart showing the distribution of AI usage across features: email drafting (35%), reply suggestions (25%), summarization (20%), tone adjustment (10%), subject line generation (10%).

Tip: Set up AI budget alerts in Settings > AI > Budget to receive notifications when token consumption approaches your monthly limit.

Team Performance Metrics

Monitor your team's productivity and communication effectiveness:

  • Emails Sent per Member: Bar chart showing the number of emails sent by each team member in the selected period. Filterable by email type (one-to-one, campaign, automated).
  • Response Time: Average time to first reply for each team member. Broken down by time-of-day and day-of-week. Target response time can be set, and the chart highlights when members exceed the target.
  • Conversations Handled: Number of email threads each team member actively participated in.
  • Resolution Rate: For conversations that are tracked through to resolution (via tags or workflow status), the percentage resolved by each team member.
  • Activity Heat Map: A calendar heat map showing email activity intensity by day. Darker colors indicate higher activity. Helps identify workload patterns and potential burnout.
  • Canned Response Usage: How frequently each team member uses canned responses, indicating efficiency in handling routine inquiries.

Contact Growth Tracking

Monitor the growth and health of your contact database:

  • Net Growth: A line chart showing new contacts added minus contacts lost (unsubscribed, deleted, hard-bounced) over time. The net growth number is highlighted prominently.
  • Acquisition Sources: Pie chart breaking down where new contacts came from: manual creation, CSV import, form submission, auto-created from email, API, or workflow.
  • List Growth: Growth chart for each contact list showing subscriber additions and removals over time.
  • Engagement Distribution: Histogram showing the distribution of contact engagement scores. Helps identify what percentage of your database is active vs. dormant.
  • Churn Analysis: Tracks unsubscribe reasons, bounce rates by list, and contact lifecycle (average time from creation to first engagement, and from last engagement to unsubscribe).

Pipeline Analytics

Sales pipeline analytics provide revenue insights and process optimization data (also accessible from the Deals module):

  • Pipeline Value: Total value of all open deals, broken down by stage. Displayed as a horizontal funnel chart showing value concentration.
  • Weighted Forecast: Projected revenue based on deal values multiplied by stage win probabilities. Monthly and quarterly views available.
  • Conversion Funnel: Stage-to-stage conversion rates showing where deals drop off. The funnel visualization highlights bottleneck stages with low conversion.
  • Win/Loss Trend: Monthly trend of closed-won vs. closed-lost deal counts and values. Win rate trend line overlay shows improvement or decline.
  • Sales Cycle: Average days from deal creation to close, segmented by pipeline, deal size, and team member. Identifies which deal characteristics correlate with faster closes.
  • Revenue by Source: Track deal revenue by lead source, campaign, or referral channel to identify your most profitable acquisition channels.

Sentiment Analysis Dashboard

When AI features are enabled, MailTrixy automatically analyzes the sentiment of incoming emails and displays aggregate trends:

  • Overall Sentiment Score: A gauge showing the average sentiment across all incoming emails (scale of -1 to +1, where -1 is very negative, 0 is neutral, and +1 is very positive).
  • Sentiment Trend: A time-series chart showing how average sentiment changes over days and weeks. Useful for detecting shifts in customer satisfaction.
  • Sentiment Distribution: A histogram categorizing emails into Positive, Neutral, and Negative buckets with percentage breakdowns.
  • Negative Sentiment Alerts: Configure alerts to notify team members when a high-value contact sends a negatively-scored email. Enables proactive intervention.
  • Sentiment by Contact Segment: Compare sentiment scores across different contact segments (e.g., VIP customers vs. trial users, enterprise vs. SMB).
  • Topic-Sentiment Matrix: Cross-reference detected email topics (billing, support, feature request, etc.) with sentiment scores to identify which areas generate the most negative feedback.

Scheduled and Custom Reports

Automate report delivery and create custom report configurations:

  • Scheduled Reports: Set up recurring report emails sent to yourself or team members. Choose the report type, date range, and delivery frequency (daily, weekly, monthly). Reports are delivered as PDF attachments.
  • Custom Dashboards: Create custom dashboard views by selecting and arranging widgets from the available metrics. Save multiple dashboard configurations for different stakeholders (e.g., "Executive Summary" for leadership, "Campaign Deep-Dive" for marketing).
  • Data Retention: Analytics data is retained for 2 years by default. Older data is aggregated into monthly summaries. Raw event-level data (individual opens, clicks) is retained for 90 days.
